MailTrigger Terms of Use

These Terms of Use ("Terms") govern your access to and use of MailTrigger's email routing and automation services. By using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1) What we do

MailTrigger ("MailTrigger", "we", "us", "our") is an email routing and automation platform. We receive email via your configured SMTP endpoints or domains and execute the Routes and Actions you configure, such as forwarding, webhook delivery, Slack/Telegram/Microsoft Teams notifications, extracting attachments, generating responses with LLMs, or running custom workflows.

When an email arrives, the Service may create one or more encrypted Message Files (for example, files with a .eml extension) and related logs solely to deliver your configured Routes and to support security, auditing, and debugging. These Message Files are encrypted at rest and are normally deleted automatically after the Actions for that message have finished processing, except for a short retention where needed for debugging, abuse detection, or legal compliance.

MailTrigger does not use your email content for advertising, does not train models on your email content, and does not sell personal information.

2) Definitions

For purposes of these Terms, the following definitions apply:

  • "Customer Data" means the email messages you send to the Service (including headers, bodies, attachments, metadata, and their stored file representations such as files with a .eml extension), routing configurations, logs, and any other data generated through your use of the Service.
  • "Message Files" refers to the temporary stored file representations of incoming email (such as .eml files) used internally by the Service to execute Routes and Actions. These files are encrypted at rest and are normally deleted automatically after all configured Actions for that message have finished processing, except where a short retention period is required for debugging, abuse detection, or legal compliance.
  • "Routes" means the email-processing rules you configure (such as forwarding, webhook delivery, LLM actions, or notifications) that determine how incoming messages are handled.
  • "Actions" means the individual operations performed as part of a Route (such as sending a webhook request, forwarding to SMTP, triggering a notification, extracting attachments, or invoking an LLM).
  • "Service" refers to the MailTrigger platform, including SMTP endpoints, APIs, the dashboard, routing engine, storage subsystems, security systems, integrations, and other related features we provide.
  • "Credentials" means any API keys, SMTP usernames or passwords, webhook tokens, domain-verification tokens, session cookies, or other authentication mechanisms associated with your account.
  • "You" / "Customer" refers to the individual or organization using the Service.

Unless we state otherwise, references to your "email", "messages", or "Customer Data" in these Terms include the associated Message Files that we temporarily store in order to run your Routes and Actions as described above.

3) Eligibility & accounts

To use the Service:

  • You must be legally capable of entering into a contract in your place of residence.
  • If you use the Service on behalf of an organization, you represent that you have authority to bind that organization to these Terms.
  • You are responsible for safeguarding your account credentials, API keys, SMTP credentials, and any other access tokens associated with the Service, and for all activity under your account, except to the extent caused by our negligence.

4) License to use the Service

We grant you a limited, revocable, non-exclusive, non-transferable license to access and use MailTrigger solely for your personal or internal business purposes and strictly in accordance with these Terms.

You may not:

  • reverse-engineer, decompile, or circumvent any security or technical protection;
  • modify, adapt, or create derivative works of the Service;
  • rent, lease, sell, sublicense, or otherwise commercially exploit the Service to third parties;
  • use automated tools to scrape, overload, or interfere with the Service;
  • impersonate MailTrigger or misrepresent your affiliation with us.

5) Acceptable Use & Prohibited Activity Critical

MailTrigger is an email automation system. Abuse can cause deliverability problems, blacklisting, legal exposure, and harm to others. You are fully responsible for all email, content, Routes, and Actions associated with your account, domains, and credentials.

5.1 Illegal content and harmful activities

You must not use the Service to store, send, route, trigger, or automate any of the following:

  • Spam, fraud, or deceptive email practices, including bulk unsolicited messages, phishing, impersonation, scams, misrepresentation of identity, or email-harvesting schemes.
  • Child sexual abuse material (CSAM) or any sexual content involving minors in any form, including images, text, recordings, deepfakes, drawings, grooming, or sexualization of minors.
  • Violence, terrorism, or hate, including threats, incitement to violence, extremist advocacy, or harassment targeting protected characteristics.
  • Intellectual property or privacy violations, such as unauthorized distribution of copyrighted works, stolen data, hacked content, or personal data dumps.
  • Dangerous or unlawful activities, including distribution of malware, exploits, or ransomware; human trafficking; illegal drugs; fraud; or any activity that violates sanctions, export controls, or other applicable law.

We maintain a zero-tolerance policy for child exploitation and will promptly report apparent CSAM to appropriate authorities and permanently ban involved accounts, domains, and endpoints.

5.2 Network, SMTP, and service abuse

You must not:

  • attack, probe, or attempt to compromise MailTrigger servers, SMTP endpoints, or APIs;
  • bypass or manipulate rate limits, quotas, or access controls;
  • send harmful payloads, viruses, or malicious code through the Service;
  • use MailTrigger to create abusive relay loops, generate excessive bounces, or interfere with other users' access;
  • attempt to mask or spoof your identity or the origin of your email in a deceptive way;
  • run any automated process or integration that places an unreasonable or disproportionate load on our infrastructure.

5.3 Domain ownership & email authentication

You must ensure that:

  • you control any domain or email address that you route through MailTrigger;
  • DNS records (such as MX, SPF, DKIM, and DMARC) are correctly configured as recommended;
  • you do not spoof or send email from domains you do not own or control;
  • reverse DNS (rDNS) and forward-confirmed reverse DNS are properly configured where applicable.

We may suspend or restrict domains, IPs, or keys if we detect spoofing, misconfiguration, or activity that harms our IP reputation or others.

5.4 Manipulation of deliverability and reputation

You must not use the Service to:

  • engage in email warming, including artificially inflating sending volume or engagement (opens, replies, stars, etc.) to manipulate sender reputation;
  • perform large-scale deliverability testing or seed-list testing that primarily aims to probe spam filters or delivery behavior outside normal user traffic;
  • use automated tools, bots, or third-party services solely to simulate legitimate email activity.

5.5 Treatment of staff

You must not threaten, abuse, or defame our staff in any communication channel. We may decline to engage with individuals who act in this manner and may suspend or terminate access to the Service in serious cases.

5.6 Monitoring & compliance

We are not obligated to monitor all use of the Service or retain all content. However, we reserve the right at all times to monitor, review, retain, block, or disclose any information when we reasonably believe it is necessary to:

  • enforce these Terms or investigate potential violations;
  • protect the safety, rights, or property of any person;
  • detect or prevent fraud, abuse, or security incidents; or
  • comply with law, regulation, legal process, or governmental request.

6) Content ownership

You retain your rights in your email content and related data. By using the Service, you grant us a limited, non-exclusive license to process, store, scan, and transmit your content solely as needed to operate, secure, and improve the Service (for example, to route email, perform abuse detection, generate logs, and debug failures).

If you configure Routes, Actions, or integrations that expose your content to third parties (such as webhooks, chat integrations, or public endpoints), those third parties may copy, store, or share such content outside the Service. MailTrigger is not responsible for how third parties handle content you choose to share with them.

Your content and any views expressed in your Customer Data do not represent or imply endorsement by MailTrigger. You may not state or imply that MailTrigger endorses your content or communications.

We do not claim ownership of your email content.

7) How email processing works (summary)

In general:

  • SMTP ingress: MailTrigger receives email on your configured SMTP endpoints or domains.
  • Processing: Email is parsed according to your configured Routes and Actions (forwarding, webhooks, notifications, LLM calls, etc.).
  • Temporary storage: Incoming email messages may be written to temporary encrypted Message Files (for example, .eml files) and logs while your configured Routes and Actions run. After all Actions for that message have finished processing, these Message Files are automatically deleted, except where a short retention is needed for debugging, abuse detection, or legal reasons.
  • Delivery: Actions may forward mail, trigger HTTP requests, send chat notifications, or invoke third-party services you connect.

Anyone with access to your API keys, SMTP credentials, or dashboard can affect your Routes and Actions. You are responsible for keeping those credentials secure.

8) Service limits & data retention

The Service relies on shared infrastructure and is subject to technical and policy limits to prevent abuse and ensure stability.

Without limiting anything else in these Terms, you acknowledge that:

  • your use of the Service is subject to limits such as message size, concurrent connections, rate limits, storage quotas, and retention windows, which may change from time to time;
  • if you exceed applicable limits, some messages, attachments, or actions may be throttled, delayed, rejected, or not processed;
  • the Service is not intended for long-term archival or as your sole backup of email or logs; you are responsible for exporting or backing up data that you wish to keep;
  • we may delete Customer Data (including email messages, their stored file representations such as Message Files, and logs) after a reasonable retention period, and we are not responsible or liable for deletion or failure to store such data.

9) Payments & billing

If you purchase paid features or plans, you agree to pay the fees shown at checkout, including any applicable taxes. Payments are processed by our payment partners; we do not store full payment card numbers.

Except where required by law, all purchases are final and non-refundable. We may modify pricing or plans prospectively; changes will not apply retroactively to already-paid periods.

10) Third-party services

MailTrigger may rely on or integrate with third-party infrastructure and services, such as hosting providers, DNS, messaging platforms (Slack, Telegram, Microsoft Teams), LLM APIs, payment processors, and analytics.

Your use of any third-party service is subject to its own terms and privacy policy. We are not responsible for availability, performance, or conduct of third-party services.

11) Intellectual property

The Service, underlying software, branding, documentation, and all related intellectual property are owned by MailTrigger and its licensors. We reserve all rights not expressly granted in these Terms.

You may not remove or alter any copyright, trademark, or proprietary notices that appear in the Service or related materials.

12) Copyright & IP complaints

If you believe that content transmitted through MailTrigger infringes your copyright or other rights, please send us a notice with sufficient detail so we can investigate. Your notice should include:

  • your physical or electronic signature;
  • identification of the allegedly infringing material and enough information to locate it (for example, sending domain, timestamps, message-ID, or headers);
  • your contact information;
  • a statement that you have a good-faith belief that the use is unauthorized; and
  • a statement, under penalty of perjury, that the information in your notice is accurate and that you are the rights holder or authorized to act on their behalf.

Send notices to: support@mailtrigger.app. We may remove or restrict access to allegedly infringing material and, where appropriate, terminate repeat infringers.

13) Security

We use industry-standard security measures, such as HTTPS/TLS and access controls, to protect the Service. Message Files and other stored Customer Data that we maintain as part of the Service are encrypted at rest. However, no service is perfectly secure.

You are responsible for maintaining security on your own systems, including your SMTP servers, endpoints, DNS configuration, credentials, and any integrated third-party services.

14) Disclaimers

The Service is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, we disclaim all warranties, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, non-infringement, and uninterrupted or error-free operation.

We do not guarantee particular delivery outcomes, spam-filter behavior, or inbox placement with any email provider, nor do we control the actions of recipients, other users, or third parties.

15) Limitation of liability

To the fullest extent permitted by law, MailTrigger and its affiliates will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, data, email, goodwill, or other intangible losses arising out of or related to your use of the Service.

Without limiting the above, we are not responsible for unauthorized access to or alteration of your transmissions or Customer Data (except to the extent caused by our negligence), for any content or conduct of third parties, or for loss, deletion, or failure to store any messages, logs, or other Customer Data.

Our total liability for any claim arising out of or relating to the Service will not exceed the amount you paid to us for the Service in the six (6) months preceding the event giving rise to the claim.

If you are dissatisfied with any part of the Service or these Terms, your sole and exclusive remedy is to stop using the Service.

16) Indemnification

You agree to indemnify and hold harmless MailTrigger, its affiliates, officers, and employees from and against any claims, demands, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or related to:

  • your use of the Service or your Customer Data;
  • your violation of these Terms or applicable law; or
  • any claim by a third party arising from email or other communications sent, routed, or automated through your account, except to the extent such claim arises from our own negligence or willful misconduct.

17) Termination

We may suspend or terminate your access to the Service, or any part of it (including domains, API keys, or SMTP endpoints), at any time with or without notice, including if we reasonably believe that:

  • you have violated these Terms or applicable law;
  • your use creates risk or harm to the Service, our IP reputation, or others;
  • we are required to do so by law, regulation, or court order; or
  • you fail to pay fees when due for any paid plan, after a reasonable grace period.

Upon termination, your right to use the Service and access Customer Data through the Service will cease. We may retain Customer Data for a limited period for backup, auditing, or legal reasons and then delete it; we have no obligation to maintain or provide a copy of Customer Data except as required by law.

You may stop using the Service at any time. Provisions that by their nature should survive termination (such as ownership, disclaimers, limitations of liability, indemnification, and governing law) will continue to apply.

18) Governing law & venue

These Terms are governed by the laws of Taiwan (Republic of China), without regard to conflict of law rules. Unless a different forum is required by applicable law, you agree to the exclusive jurisdiction of the courts located in Taipei, Taiwan, for any disputes arising out of or relating to these Terms or the Service.

19) Changes to these Terms

We may update these Terms from time to time. When we make materially adverse changes, we will take reasonable steps to notify you (for example, via the dashboard, email, or a notice on our website).

Your continued use of the Service after the effective date of updated Terms constitutes acceptance of those changes. If you do not agree, you must stop using the Service.

20) General

Nothing in these Terms creates any partnership, joint venture, employment, or agency relationship between you and MailTrigger.

If any provision of these Terms is found to be invalid or unenforceable, that provision will be enforced to the maximum extent permissible and the remaining provisions will remain in full force and effect.

These Terms, together with any additional terms expressly referenced herein (such as our Privacy Policy), constitute the entire agreement between you and MailTrigger regarding the Service and supersede any prior agreements or communications relating to the Service.

We may assign our rights and obligations under these Terms, in whole or in part, to any affiliate or in connection with a merger, acquisition, corporate reorganization, or sale of assets. You may not assign these Terms or transfer your rights or obligations without our prior written consent.

We will not be liable for any failure or delay in performance to the extent caused by circumstances beyond our reasonable control, including acts of God, natural disasters, war, terrorism, riots, labor disputes, internet or telecommunications outages, or government actions.

To the extent permitted by law, any cause of action arising out of or related to these Terms or your use of the Service must be commenced within twelve (12) months after the cause of action accrues; otherwise such cause of action is permanently barred.

Plain-language summary (not a substitute for the Terms)

MailTrigger routes your email and runs automations based on the Routes and Actions you configure. Do not send spam, scams, harmful or illegal content, or anything involving minors. Do not abuse our infrastructure or staff, and do not use MailTrigger for email warming or large-scale deliverability manipulation. Keep your domains, DNS, and credentials secure. We may block abusive usage, cooperate with law enforcement, and must report child-exploitation material to authorities. The Service is provided as-is and we cannot guarantee perfect uptime, deliverability, or inbox placement. Your primary remedy if you are unhappy with the Service is to stop using it.
